This position handles all request for account record production served on the bank by law enforcement, attorneys, federal or state agencies for a subpoena, search warrants, Medicare/Medicaid, or customer direct requests.  Under minimal supervision this position will interpret and process these requests while ensuring the privacy of the confidential bank information following applicable bank regulations.  Expected to give accurate quality and respond within given timeframes.  Coordinates the daily assignments to other staff members. Individual should demonstrate ability to multitask, effectively identify potential risks to escalate when necessary, own issues through completion and provide a high standard of service.

  • Effectively organize and prioritize workflow of pending subpoenas and other requests by monitoring deadlines closely in order to minimize risk to the bank that would result with missed deadlines and/or court appearances
  • Analyze and Interpret legal language within subpoena to determine the scope, time frame, due date, to ensure that only legally requested records are released
  • Review subpoenas for any potential risk or liability for the bank to timely and effectively escalate when needed
  • Conduct research to prepare and fulfill requests
  • Maintain a working knowledge of all platforms used in the process of fulfilling requests including but not limited to:
    • FSB
    • Synergy
    • E-Vision
    • Money Gram
    • Docusafe
    • Mobile Deposit System
    • Credit Card System
    • Deposit Financial Transaction (Sequel Query)
  • Coordinate and facilitate with Legal department and BSA area for review of files
  • Ensure strict confidentiality of information in all aspects of duties to mitigate operational, reputational, monetary, and legal risk
  • Ensures prompt and correct completion, maintain organization, storage, integrity, accuracy, and shipment of requested records to meet deadlines established within court order
  • Ensures all pertinent communications and transactions regarding subpoenas are recorded and maintained in the proper format
  • Conduct review of other staff’s production to ensure quality control
  • Directs staff on all document preparation for imaging
  • Prepares and sends invoices to requestors for copies and research time. Also following up with requestors regarding outstanding fees
  • Document and maintain procedures for all processes within the department
  • Maintain data to update departmental scorecard
  • Provide training to other employees within the department

Knowledge - Skills & Abilities

  • Intermediate to advanced computer skills in Microsoft Office (Word, Excel, and Outlook).
  • Must demonstrate excellent organizational, verbal, and written communication skills.
  • Possesses the utmost integrity for dealing with highly confidential information.
  • Able to work independently on daily tasks and recognize situations that may require escalation.
